UEW Health Services Staff Undergo Hands-on Training on Hospital Management System
Medical practitioners and administrators at the University of Education, Winneba (UEW) Health Services Directorate, have completed a weeklong intensive training on the use of a newly developed Hospital Management System. This software, created by the Directorate of ICT, aims to transition the Health Services Directorate to a fully paperless operation, streamlining processes and improving efficiency.
The hands-on training was held at the ICT Laboratory, South Campus, UEW, from Monday, 27th to Friday, 31st May, 2024. During the opening ceremony, Ms. Georgina Tibu, Assistant Registrar at the Division of Human Resource (HR), welcomed participants on behalf of the Deputy Registrar of HR. She emphasised the critical role of embracing technological transformation in promoting personal and organisational growth.
"We are aware that the clinic is transitioning from hard-copy paperwork to a paperless system. Proper training is essential for this change to be successful and seamless. This training not only aids in the professional development of our staff but also equips them to effectively manage the impending change," Ms. Tibu remarked. She encouraged participants to fully engage with the training to ensure they are well-prepared for the system's implementation.
Mr. Isaac Darkoh, speaking on behalf of the Director of the University Health Services Directorate, commended the University Management for their support in realising the paperless vision. He expressed confidence that this transformation would greatly enhance the efficiency of the University Clinic.
“The shift to a paperless operation is designed to improve our procedures, reduce waiting times, and manage resources more effectively. As we prepare to move into a larger facility, this system will ensure we are ready to enhance our operations significantly,” stated Mr. Darkoh. He also announced that the Hospital Management System had been successfully piloted and is now ready for full-scale implementation.
The training was meticulously structured to cover all aspects of the Hospital Management System. On the first day, staff at the Records Unit learned how to add and update patient details and manage the Outpatient Department (OPD) queue. The second day focused on nurses in the Triage Arena, teaching them how to record patients’ vitals, manage the doctor’s queue, and handle patient flow efficiently.
Wednesday’s session was dedicated to the Laboratory Unit, where staff were trained on adding and updating lab tests, processing laboratory requests, entering laboratory results, and uploading scanned results. On Thursday, doctors were instructed on accessing and updating medical records, making laboratory requests, and prescribing medication through the system.
The final day of training was for the Pharmacy Unit staff, who learned how to manage drug inventories, set markup values, create and manage stores, and dispense medication to patients efficiently.
The training was facilitated by skilled resource persons from the Directorate of ICT, including Mr. Rafique Agyare, Assistant Registrar and System Administrator; Mr. Frederick Osei Bessah, Senior IT Assistant; Mr. Boakye Agyemang, Senior IT Assistant; and Mr. William Emmanuel Offei, Senior IT Assistant.
The successful completion of this training marks a significant milestone for the UEW Health Services Directorate. It not only prepares the staff for a major operational shift but also positions the University Clinic as a model for modern, efficient healthcare delivery.
